New Features in 3.7.7 | |
General | |
#12918 | Repstor affinity now provides a Property Search dialog to do targeted searching for documents and emails against SharePoint property values. When a set of SharePoint fields to search against are configured the new opens appear when viewing a Repstor affinity folder. The Property Search dialog will present the available fields for the current folder in the requested order. After supplying values the current folders items can be restricted to those with matching properties. When searching the results can be limited to the current folder or can include items in sub folders also. When viewing a set of filtered results Property Search buttons are available to reopen the previous dialog to amend the criteria or reset the search to go back to the original folder view. The Property Search dialog is especially useful when the standard Outlook search is not available to search Repstor affinity for example in certain Citrix environments. It can also be useful to provide a quick way to filter items by a limited set of key SharePoint fields even when the Outlook search option is available. |
#13540 | Repstor affinity can now be configured to prompt for additional property fields when Quick Filing. An extension must be provided to give the extra properties and to allow them to be stored. See Repstor extensibility guide for more details. |
#13563 | Repstor affinity now includes a new option when saving documents to SharePoint or eDOCS folders in Repstor affinity from Word that will populate a DocId value in the documents header or footer. When enabled the new document will be synchronised skipping some of the usual syncing operations to add it to the server while the document is still being edited. Once a DocId has been obtained the value will be set on the Word document's Title property and any Title fields in the header or footer will be automatically updated. Repstor will aim to make the method of syncing this DocId value more flexible in the future. |
#13727 | Repstor affinity's incremental search option has been changed to avoid increasing gaps between syncs during non-office hours - this is controlled by configuration. |
#13728 | Repstor affinity now includes a way to include a random element to the time between synchronisations to avoid spikes in syncs activity for large sets of folders or Repstor affinity users. By default the time between background syncs is one hour per folder. Enabling this configuration adds a random time up to 25% of the hour between sync. |
Custodian | |
#13558 | The term used for removing a Custodian matter from Repstor affinity can be customised now. For example to 'Unpin' or 'Remove' instead of the default 'Unsubscribe'. |
#13559 | For custodian hierarchies, there is now an option to show the whole file. i.e. allow users to get a complete view of the documents in the entire matter or project etc. This will provide a right click menu Show Whole File which when selected will show all the documents for the workspace in a single list. |
eDOCS | |
#13552 | In Repstor affinity for eDOCS an existing eDOCS file can now be copied to a new eDOCS folder which will add a shortcut to the existing item in the second location. |
#13554 | With Repstor affinity for eDOCS, opening an eDOCS DRF file will now sync the document and automatically open it for editing once the file has been synced. It will be opened for viewing if the person doesn't have edit permission on the document. |
#13562 | Repstor affinity for eDOCS now includes an option to view the History of eDOCS documents via the eDOCS context menu. |
#13713 | In Repstor for eDOCS documents can be removed from eDOCS DM folders by right clicking on the document and choosing "Delete From Folder". |
#13566 | With Repstor affinity for eDOCS a "Folder Properties" menu item now appears in the Repstor Affinity context menu to allow you to change the folder name/client/matter id etc. |
#13567 | Repstor affinity for eDOCS now has configuration to match custom matter ids which don't fit the usual pattern. eg 1.1 or New.New. |
Misc | |

#13490 | When using Repstor affinity with M-Files vault, if email fields are configured, Repstor affinity will map email fields to the appropriate M-Files fields. Repstor will also default to the M-Files email class if it is configured. |
Bug Fixes in 3.7.7 | |
#12104 | An issue was resolved with Repstor CRM which caused replies to tracked emails to also appear as tracked automatically. |
#13711 | Double clicking a Repstor affinity document will now open the document for viewing if the person doesn't have permission to edit it. |

#12608 | Repstor affinity can now be configured to automatically create named custom views in Outlook. The views can have specific columns displayed, columns can be renamed and custom grouping / sorting can be automatically configured. Repstor affinity can also be configured to automatically apply a named Outlook view when it first syncs based on the name of the folder or search folder using regular expressions. A default view can be configured if no regular expression matches the folder name. These two features can be used together or independently eg the standard SharePoint view syncing could be used with configuration to automatically apply different SharePoint views based on the folders name. |
#13157 | Repstor affinity now includes a new Make Available Offline dialog to ensure a section of Repstor affinity is up to date and all headers have been downloaded. Selecting a folder and opening the dialog provides an option to keep the content available for the next 7 days by default. Within the time period all syncs will be as full downloads rather than headers and expiry will not apply to this section of Repstor affinity. Once the time period has been exceeded future syncs will use the normal header setting and expiry will apply to the section. ROAM.OfflineAvailabilityDlg (DWORD) - defaults to 0, set to 1 to make the dialog available via a right click menu on Repstor affinity folders. ROAM.MakeAvailableDays (DWORD) - number of days to make content available for, defaults to 7. |

Note this feature requires a change to the HPE CM Service API configuration to prevent some data from being blocked. Contact support for steps to enable email metadata capture to CM. |
#12965 | When adding HPE CM repositories by searching a search scope they will now default to the short classification name instead of the classification title which can be much longer. |
Bug Fixes in 3.7.6 | |
Office integration | |

#13422 | Repstor affinity for eDOCS will now default to retrieving the first 2500 results for a matter search. This is to avoid stability issues when retrieving very large numbers of results. |
New Features in 3.7.5 | |
Quick File Document Searching / DocId | |
#12635 | Within the QuickFile dialogs when attaching items to an outgoing message, filing an incoming attachment, or opening or saving a document within an Office application, it is now possible to search for a document using the document title, last editor, or document id. A new dropdown will appear in the dialog to allow "Searching for Documents". The field that appears can be searched using free text values (for document id, file name or modifying user) - you can also search specific fields with the appropriate prefix - from:<from user> for modifying user, docid:<docid> for the document id. Document ID property defaults to Document ID Value, but can be configured through the string property DocIdProperty. |
#12636 | Repstor affinity now provides a right click option to compare the currently selected document with another in Repstor affinity. The second document is found via the Quick File based browse dialog which can also find documents by their properties such as filename or DocId. |
#12603 | When using Quick File to view the contents of folder custom columns can be added to the contents view such as DocId. Contact support for steps to configure these custom columns. |
#12933 | Repstor affinity now provides a right click menu option to copy a Document Id to the clipboard. A Document Id has to be present on the selected document - the default document id property is "Document ID Value" which is present for Document Ids on SharePoint. It will be necessary to use an extension to copy Document Ids for other repository types. The property can be changed by configuring DocIdProperty to the name of the property. |
#12628 | It is now possible through configuration to append the Document Id to the title of a document link. Create a DWORD ROAM.AppendDocIdToLinkName to 1 to enable. |
Custom Views | |
#12608 | Repstor affinity can now be configured to automatically create named custom views in Outlook. The views can have specific columns displayed, columns can be renamed and custom grouping / sorting can be automatically configured. Repstor affinity can also be configured to automatically apply a named Outlook view when it first syncs based on the name of the folder or search folder using regular expressions. A default view can be configured if no regular expression matches the folder name. These two features can be used together or independently eg the standard SharePoint view syncing could be used with configuration to automatically apply different SharePoint views based on the folders name. |
#12799 | Repstor affinity can be configured to automatically display SharePoint email metadata such as To, From, CC, and From as Outlook displays this information in the users mailbox rather than the full captured values in SharePoint. Create a DWORD SharePointSync.DecodeRecipientValues = 1 to enable this feature. |
Performance | |
#12901 | This version changes the handling of the FiledMessagesShowOthers setting. Now affinity will only mark items that have been received within a certain number of days - configurable by the MarkFiledItemsByOthersDays (DWORD) which defaults to 60. Others emails received within this number of days will be marked as filed. This avoids issues on initial download, where a huge backlog of items for marking is set. |
#12607 | When "headers, then full items" is used as a download mechanism, it is now possible to configure a number of days where the full items will be queued and downloaded. When downloading, the received date / modified date of items will be used to determine whether an item falls within this set of days or not. Create a DWORD FullItemDownloadDays to set the number of days. |
#12843 | There is now a configuration setting to allow the explicit setting of header settings based on a new repositories name or folder name. ROAM.FolderHeaderSettings has the format <folder regex>=<header download type> |<folder regex2>=<header download type> Full Items = 1, Headers Only = 2, Headers then full items = 3, Inherited (from repository or options) = 4, No Downloads= 5, Online =6, Headers (and single folder only) = 7 An example of the folder regex could just be the name of a matching folder "archive folder" |
eDocs Enhancements | |
#12610 | Repstor affinity for eDocs will now limit duplicate detection to the current matter when adding items to a matter. This allows items to be copied between matters such as template documents. Items added to a search folder will be detected as duplicates if they exist anywhere in the same library. |
#12841 | Repstor affinity now supports copy link for edocs filter. Copy link will provide a pcdocs:// formatted link |
#12368 | Repstor affinity for eDocs will handle DRF reference files so that when they are opened the documents are displayed within Repstor affinity. This feature is available for DRF references pointing to any version or the latest version. Other DRF references will continue to be handled by eDocs directly. |
#12777 | When setting up a Search Scope for eDOCS you can now use {PRIMARYLIB} instead of an actual library name. |
Misc | |
#12681 | Added the option to use email content types even when they are hidden in SharePoint. This allows email files to be assigned the correct content type without making it visible to users. |
#12162 | Repstor assist will now automatically generate categorisation rules the first time without requiring the user to manually start the first training process. |
#13017 | When using Repstor affinity to Quick File to an online location and Quick File was configured to display extra columns SharePoint document library results don't have custom properties and so the extra columns are blank. Now a regular expression (ROAM.SPSSearchExtraColumnsMissingPattern) can be used to populate the missing values if they are included in the locations URL. eg "Clients/(\w+)/(\d+)" would extract ACME and 1234 from the location http://server/site/Clients/ACME/1234/. |
#13007 | When using Repstor affinity to Quick File to an online location an option is now available to disable the general Query Text clause and instead pass the users search text to a custom content class filter clause. This can be useful when Quick File online needs to restrict the use of the search text to very specific properties. Contact support for more details. |
Bug Fixes in 3.7.5 | |
#12761 | Improvements were made when syncing SharePoint repositories that exceed the list view threshold with other header status settings. |
#12098 | When a document from one Custodian matter is edited and then saved to another Custodian matter the new document will use the new locations default metadata. |
#12164 | An issue was resolved which prevented the Quick File drop down from being changed to Copy or Move if syncing a large set of folders in the background. |
#12195 | A Repstor for CRM issue was resolved which prevented emails from being sent after being selected in the Outbox. |
#12568 | An issue was resolved that could cause an Office application to report a permission error when editing a Repstor affinity document and the document was closed. |
#12372 | An issue was resolved which prevented luggage tagged replies from being automatically filed if they had been read on a mobile device before starting Outlook. |
#12657 | Temporary repositories added via Quick File online are now automatically removed from the Quick File Recent Locations list when they are removed after Outlook is restarted. |
#12655 | Repstor affinity for eDocs can now be configured to return additional properties like client / matter when Quick Filing online. Contact support for steps to configure this feature |
#12936 | To avoid slowness in Outlook Repstor affinity's features to Send and File emails and Mark emails as Filed are now limited to primary Exchange mailboxes by default. |
#12716 | When using Repstor affinity for eDOCS to add a document to a search folder that does not match the doc added (e.g. adding a non pleadings document to a pleadings search folder) the document is now immediately removed from the search folder after it is uploaded to the server. It will be accessible through any matter search that matches the added doc e.g Whole File (All). |
#12795 | For both eDOCS and Worksite Repstor affinity will now always check before editing a document whether the doc has changed on the server when sync is enabled. |
#7515 | An issue was resolved which prevent the Properties button from working in the Preview pane under certain conditions. |
#7580 | Changes were made to resolve inconsistencies in the Quick File and Jump to Folder results. |
#7790 | Forwarding an email after Quick Filing it will no longer remove the applied category. |
#12108 | The ROAM.LimitFileType setting will now correctly filter out OneNote documents. |
#12407 | For HPE CM, if no suitable folder record type is available when adding a new folder a permission denied error is displayed and the new folder is removed from Outlook. |
#12844 | An issue was resolved when attaching links to a draft email which caused the Subject to be reset. |
#12847 | An issue was resolved which could cause Repstor affinity's Unified Groups to fail to authenticate with Office 365 under certain conditions. |
#12842 | When incoming attachments are matched against documents which have been Forward and Tracked, Repstor affinity used to indicate the % confidence on the match. Since this is a confidence level for the document matching all possible documents you have sent out, the percentage is no longer displayed. |
Outstanding Issues | |
Impact: Medium | |
#13580 | Repstor discovered an issue with a series of Monthly Channel releases of Outlook (Office 365 Only) which caused Outlook to crash when opening any Repstor repository with the preview pane enabled. Microsoft have resolved the issue in Build 10228.20051. Please update to this version if using the Monthly Channel (Targeted Release). |
#12695 | To use Repstor affinity's feature to mark emails as filed with a category with Outlook Shared Mailboxes the Outlook setting "Download Shared Folders" must be disabled in the Exchange account's Advanced tab under Cached Exchange Mode settings. |
SYN-15 | The conflict messages report SharePoint's internal version numbers when used with SharePoint document libraries which have Checkout required or major/minor versioning enabled. These differ from the user displayed version numbers in SharePoint. |
SYN-340 | When custom lists are synchronized with Rich Text Fields and are displayed in the preview pane, Outlook will move the focus to the rich text field. This stops up/down arrows from working in the Outlook list view. |
SYN-595 | If a large number of items exist within Repstor, or within other message stores, the Outlook "Show In Conversations" can affect overall Outlook performance. This can be avoided by switching off the feature, or setting it to not show messages from other folders. |
SYN-819 | Repstor can appear to hang if while uploading a large number of documents, you remove a different repository. |
SYN-939 | In Outlook 2007 command bar buttons that are too large to be accommodated on the main toolbar can become unclickable. This can be resolved by customizing the command bar and repositioning the buttons. |
SYN-954 | Repstor does not currently support SharePoint standard forms authentication. ADFS authentication is supported. |
SYN-962 | The "Tell me More" links within the Repstor ribbon will display help for Lync. This is a Microsoft issue. The ribbon help should link to information on addins, but has been replaced by the Lync addin. We may workaround this issue in future releases. |
SYN-1627 | On Windows 10 the text in some Repstor notification messages may be truncated. |
SYN-1687 | Repstor Drive supports a
limited set of characters for the names of Repstor affinity folders and
documents. Names containing % will fail to be displayed correctly in Repstor
Drive and will not be accessible. If the server repository supports other
invisible characters (eg tab, bell, new line) in the filename metadata field
these items may also not be accessible in Repstor Drive. Functionality for names containing the following characters will be limited / \ : * ? " < > | { } # &. The limited items will fail if copy, move, renamed or added via Drive. However existing items in Repstor affinity with this set of characters can be browsed to and edited. |
SYN-1700 | Copies of documents made in the same site will always be the latest version of their source document. If the source document is modified before the copy is synched to the server the modified document may be used for the copy instead of the version of the document when the copy was made. To avoid issues, allow the sync to occur before editing the source or destination document. If the copied document is edited before it is synchronized to the server then the edited document will be uploaded and not the original copy or updated source. |
SYN-1701 | If a document set is configured with shared properties, these properties will be inherited onto contained documents. Currently affinity is not aware of these defaults, so will prompt for missing required properties that would be inherited. However, the correct values are set after a synchronization. To avoid this issue, don't make properties to be inherited from document sets mandatory. |
SYN-1768 | Repstor assist extracts text from PDF files using the locally configured third party component. With some Windows 8 or later 64 bit configurations certain PDF files can cause this training process to hang. To resolve this issue install the most recent Adobe IFilter 64 bit component. http://www.adobe.com/support/downloads/detail.jsp?ftpID=5542 |
SYN-1983 | An issue with Repstor Drive
can cause Word, Excel and PowerPoint to stop responding if the user has
previously browsed a SharePoint location in the Save As dialog and then
navigates to the "Repstor affinity" network place shortcut in an
Office Save As dialog. This appears to be an issue with Microsoft
Office. To workaround the issue avoid browsing SharePoint locations when using Repstor Drive or alternatively access Repstor Drive locations via the Other Web Locations section of the Save As page. Contact support@repstor.com for more information. |
SYN-2097 | Repstor's HPRM plugin uses the HPRM ServiceAPI to sync the document and emails. When document content is requested via the ServiceAPI and specific errors occur it can return a success status code but the content returned is the error details. See the Repstor HPRM plugin install documentation for steps to ensure that these errors are not processed as the document content. |
SYN-2392 | When Quick Filing Attachments to a folder with a required field will only show the Properties for the last attachment to fill in the missing value. As a workaround when filing attachments if you choose to "Don't prompt to rename the existing items" the Properties for all items will be displayed. |
Impact: Low | |
SYN-1940 | An issue in Outlook 2013 can cause older Repstor affinity documents and emails to be hidden when the SyncWindowSetting Outlook Group Policy setting is enabled. This issue was resolved in Outlook 2016. |
SYN-1909 | If you have very many terms in a term set there can be a long delay when editing a SharePoint Managed Metadata property from the TermSet picker. |
SYN-1893 | Converting a Repstor Word document to PDF will fail if the document contains Personally Identifable Information which Repstor affinity can't remove. |
SYN-1819 | For custodian installations when items are copied from one matter to another, the default properties are picked up from the new matter. However, if the matters are in the same site, and server-side copy is configured - the old properties will keep their previous matter values. |
SYN-1805 | In HPRM, If a record type is configured with additional fields, these fields will appear, but have no value is configured in the list or properties pages. A future release will allow these fields to be displayed. |
SYN-1749 | Repstor affinity uses Outlook APIs to save emails as .msg files before upload. These Outlook APIs can fail to save specific large emails with many embedded attached emails. Contact support for steps to workaround the issue. |
SYN-1727 | Repstor Drive is prevented from accessing files larger than 50MB by default based on a Windows Explorer configuration setting. See https://support.microsoft.com/en-us/kb/2668751 for information on how to increase this limit. |
SYN-1699 | Copying and moving items within and between repositories will under certain circumstances not prompt for required properties. Any missing properties can be set after the copy. |
SYN-1698 | When a file share folder is renamed, syncing lower folders will fail until the rename is synced to the file share server. The rename will be propagated when the renamed folder's parent is synced. |
SYN-1693 | Repstor Drive includes a new mechanism for more efficient folder copies and deletions. On 64 bit Windows these Drive folder operations are supported within 64 bit applications like Windows Explorer but not within 32 bit applications. |
