Known Issue with Recent Office 2016 builds
#13580 | We recently discovered an important issue with the latest Monthly Channel release of Outlook (Office 365 Only) Release 1806.XXXX. This issue affects all recent versions of Repstor affinity. Contact support@repstor.com for more information.
Updated 2018-06-13 After raising this ticket with Microsoft they resolved the issue in the latest Monthly Channel (Targeted Release) - version 1806 (Build 10228.20051). Please update to this version if you are on the Monthly Channel (Targeted Release). Problem: Outlook crashes instantly after upgrading to Build 1806 and opening any Repstor repository with the preview pane enabled. Status: Repstor has reported this to Microsoft (Ticket #118060818348254) and is currently working closely with Microsoft to investigate and resolve the problem in a new Office release or find any other workarounds. Workaround: If you have not yet updated to build 1806, we recommend temporary disabling automatic updates (Outlook --> Options --> Office Account --> Update Options) in order to avoid the problem. If you have already updated to build 1806, you can downgrade by running the following command from a command prompt: "C:Program Files\Common Files\microsoft shared\ClickToRun\OfficeC2RClient.exe" /update user updatetoversion=16.0.9330.2087 |
New Features in 3.7.8 | |
General | |
#13923 | A new feature in Repstor affinity allows interim versions to be saved to SharePoint and DM while continuing to edit the document in Word, Excel and PowerPoint. When available the new "Save and Sync" and "Publish as Major Version" buttons in Office will save the current document content as an interim version and sync it in the background when available. When clicking Publish as Major Version the user is prompted for a version comment to include. If offline, multiple interim versions can be created with different content and these will be sync'd when the user is online again. |
#13550 | Repstor affinity now supports constraining multiple SharePoint choice fields in the Properties dialog so that the value in one field restricts the available values in a different drop down. The choice in the second field can then constrain a third field etc. The static allowed field combinations are defined in a SharePoint list. Changes to this list will be synchronised and update the constraint rules. |
#13941 | Repstor affinity will now mark Inbox emails as filed when they were filed by another person and downloaded as a header by the current person. This feature is supported for SharePoint and DM repositories and requires an additional messageid field to be created in the target server. |
#13369 | Changes to matter names in Custodian will now be reflected in Repstor affinity without requiring the matter to be re-pinned. |
#14002 | Repstor affinity can now be configured so that Edit Document for modern Office formats in SharePoint are launched in Co-Authoring mode rather than a local edit to be sync'd. Note that Co-Authored documents will require a folder sync, before the new contents are reflected in Repstor affinity. Documents Opened in Co-Authoring mode will not present the Repstor 'edit' buttons, such as "Publish as New Major Version", or "Send Document Link". Only 'modern' Office documents support Co-Authoring mode. Older document formats, such as .doc, or .xls, will continue to open in Repstor affinity's standard Edit mode instead. |
#14109 | By default Repstor affinity will now for better performance limit luggage tag processing of new Inbox emails to the primary Exchange mailbox. |
#13942 | The Repstor affinity "Download full items" button / menu can now be limited to number of recent items in the folder. A warning message that allows users to cancel the action can also be configured when this option is used. |
#13929 | Recent documents that have changed location or had their repository re-added can now be tracked by document ID so that they will now reappear in the Recent Documents search folder. The number of recent documents that will be tracked in this way is limited to 100 by default. This limit does not affect the number of documents that can appear in the Recent Documents search folder. |
#13803 | Quick File Online and Document searches in the Quick File dialog the time before running the search is now configurable. Using the enter key will run the search immediately. |
#13962 | When filing items with Quick File Online the parent folders that the temporary repositories are created under can now be configured. Set the ROAM.QuickFileOnlineParentFolders string to define one or more parent folders. By default these repositories are created under an "Uploading" parent folder. |
#13916 | When using the Make Available Offline menu option, a custom warning can be displayed to inform users of the consequences of this action. When a custom warning is displayed the user must click "I Agree" to continue. An example warning in the AvailableOfflineWarningMessage registry setting: "You have opted to download a large number of files.\nPlease note that you are responsible for any documents that you have chosen to download.\nIf you agree to this, press 'I Agree' to proceed". |
#13551 | Repstor affinity now supports Quick Filing an email with attachments to the same SharePoint location as the email without attachments and the independent attachment documents. Two properties tie these independent SharePoint items together each item gets a "registration number" guid and each has a "parent registration number" which is the registration number of the parent email msg file. |
#14103 | Repstor affinity can now be configured to prevent filing of encrypted messages. |
Doc ID Searches | |
#13918 | Repstor Doc Id Search repositories can now be configured so that repositories that haven't been used recently are automatically removed when closing Outlook. A setting indicates the maximum number of Doc Id search repositories to keep. |
#13993 | Doc ID Searches can now be given the name of the document that is found by the search. This change will take effect for any new Doc ID searches, and can be configured through the DocIdSearch.NameFormat registry setting. use the tag #docname# to substitute the document's name (on top of the existing #docid# for the document's ID). |
#13953 | The "DocID Search" button text can be customised using the ROAM.DocIdSearchLabel (string) setting. |
Repstor affinity for DM
#13552 | In Repstor affinity for eDOCS an existing eDOCS file can now be copied to a new eDOCS folder which will add a shortcut to the existing item in the second location. |
Repstor affinity for M-Files
#13938 | Repstor affinity for M-Files now supports folders configured to show recent items. A right click on the parent folder will show an M-Files menu and allow selecting one of the sub items through a search dialog. |
Extensions | |
#14033 | A new extension is provided which runs just after an item has been uploaded to a repository. By default this runs only when the item is a document, and is being filed to an unpinned repository. See extensibility guide for more information. |
#14035 | A new extension support function has been added to allow you to list a document id in the recent documents list. This will mean future synchronizations of that document will automatically add it to the recent documents search folder. |

New Features in 3.7.7 | |
General | |
#12918 | Repstor affinity now provides a Property Search dialog to do targeted searching for documents and emails against SharePoint property values. When a set of SharePoint fields to search against are configured the new opens appear when viewing a Repstor affinity folder. The Property Search dialog will present the available fields for the current folder in the requested order. After supplying values the current folders items can be restricted to those with matching properties. When searching the results can be limited to the current folder or can include items in sub folders also. When viewing a set of filtered results Property Search buttons are available to reopen the previous dialog to amend the criteria or reset the search to go back to the original folder view. The Property Search dialog is especially useful when the standard Outlook search is not available to search Repstor affinity for example in certain Citrix environments. It can also be useful to provide a quick way to filter items by a limited set of key SharePoint fields even when the Outlook search option is available. |
#13540 | Repstor affinity can now be configured to prompt for additional property fields when Quick Filing. An extension must be provided to give the extra properties and to allow them to be stored. See Repstor extensibility guide for more details. |
#13563 | Repstor affinity now includes a new option when saving documents to SharePoint or eDOCS folders in Repstor affinity from Word that will populate a DocId value in the documents header or footer. When enabled the new document will be synchronised skipping some of the usual syncing operations to add it to the server while the document is still being edited. Once a DocId has been obtained the value will be set on the Word document's Title property and any Title fields in the header or footer will be automatically updated. Repstor will aim to make the method of syncing this DocId value more flexible in the future. |
#13727 | Repstor affinity's incremental search option has been changed to avoid increasing gaps between syncs during non-office hours - this is controlled by configuration. |
#13728 | Repstor affinity now includes a way to include a random element to the time between synchronisations to avoid spikes in syncs activity for large sets of folders or Repstor affinity users. By default the time between background syncs is one hour per folder. Enabling this configuration adds a random time up to 25% of the hour between sync. |
Custodian | |
#13558 | The term used for removing a Custodian matter from Repstor affinity can be customised now. For example to 'Unpin' or 'Remove' instead of the default 'Unsubscribe'. |

eDOCS | |
#13552 | In Repstor affinity for eDOCS an existing eDOCS file can now be copied to a new eDOCS folder which will add a shortcut to the existing item in the second location. |
#13554 | With Repstor affinity for eDOCS, opening an eDOCS DRF file will now sync the document and automatically open it for editing once the file has been synced. It will be opened for viewing if the person doesn't have edit permission on the document. |
#13562 | Repstor affinity for eDOCS now includes an option to view the History of eDOCS documents via the eDOCS context menu. |
#13713 | In Repstor for eDOCS documents can be removed from eDOCS DM folders by right clicking on the document and choosing "Delete From Folder". |

#13490 | When using Repstor affinity with M-Files vault, if email fields are configured, Repstor affinity will map email fields to the appropriate M-Files fields. Repstor will also default to the M-Files email class if it is configured. |
Bug Fixes in 3.7.7 | |
#12104 | An issue was resolved with Repstor CRM which caused replies to tracked emails to also appear as tracked automatically. |
#13711 | Double clicking a Repstor affinity document will now open the document for viewing if the person doesn't have permission to edit it. |

New Features in 3.7.5 | |
Quick File Document Searching / DocId
#12635 | Within the QuickFile dialogs when attaching items to an outgoing message, filing an incoming attachment, or opening or saving a document within an Office application, it is now possible to search for a document using the document title, last editor, or document id. A new dropdown will appear in the dialog to allow "Searching for Documents". The field that appears can be searched using free text values (for document id, file name or modifying user) - you can also search specific fields with the appropriate prefix - from:<from user> for modifying user, docid:<docid> for the document id. Document ID property defaults to Document ID Value, but can be configured through the string property DocIdProperty. |
#12636 | Repstor affinity now provides a right click option to compare the currently selected document with another in Repstor affinity. The second document is found via the Quick File based browse dialog which can also find documents by their properties such as filename or DocId. |
#12603 | When using Quick File to view the contents of folder custom columns can be added to the contents view such as DocId. Contact support for steps to configure these custom columns. |
#12933 | Repstor affinity now provides a right click menu option to copy a Document Id to the clipboard. A Document Id has to be present on the selected document - the default document id property is "Document ID Value" which is present for Document Ids on SharePoint. It will be necessary to use an extension to copy Document Ids for other repository types. The property can be changed by configuring DocIdProperty to the name of the property. |
#12628 | It is now possible through configuration to append the Document Id to the title of a document link. Create a DWORD ROAM.AppendDocIdToLinkName to 1 to enable. |
Custom Views | |
#12608 | Repstor affinity can now be configured to automatically create named custom views in Outlook. The views can have specific columns displayed, columns can be renamed and custom grouping / sorting can be automatically configured. Repstor affinity can also be configured to automatically apply a named Outlook view when it first syncs based on the name of the folder or search folder using regular expressions. A default view can be configured if no regular expression matches the folder name. These two features can be used together or independently eg the standard SharePoint view syncing could be used with configuration to automatically apply different SharePoint views based on the folders name. |
#12799 | Repstor affinity can be configured to automatically display SharePoint email metadata such as To, From, CC, and From as Outlook displays this information in the users mailbox rather than the full captured values in SharePoint. Create a DWORD SharePointSync.DecodeRecipientValues = 1 to enable this feature. |
Performance | |
#12901 | This version changes the handling of the FiledMessagesShowOthers setting. Now affinity will only mark items that have been received within a certain number of days - configurable by the MarkFiledItemsByOthersDays (DWORD) which defaults to 60. Others emails received within this number of days will be marked as filed. This avoids issues on initial download, where a huge backlog of items for marking is set. |
#12607 | When "headers, then full items" is used as a download mechanism, it is now possible to configure a number of days where the full items will be queued and downloaded. When downloading, the received date / modified date of items will be used to determine whether an item falls within this set of days or not. Create a DWORD FullItemDownloadDays to set the number of days. |
#12843 | There is now a configuration setting to allow the explicit setting of header settings based on a new repositories name or folder name. ROAM.FolderHeaderSettings has the format <folder regex>=<header download type> |<folder regex2>=<header download type> Full Items = 1, Headers Only = 2, Headers then full items = 3, Inherited (from repository or options) = 4, No Downloads= 5, Online =6, Headers (and single folder only) = 7 An example of the folder regex could just be the name of a matching folder "archive folder" |
eDocs Enhancements | |
#12610 | Repstor affinity for eDocs will now limit duplicate detection to the current matter when adding items to a matter. This allows items to be copied between matters such as template documents. Items added to a search folder will be detected as duplicates if they exist anywhere in the same library. |
#12841 | Repstor affinity now supports copy link for edocs filter. Copy link will provide a pcdocs:// formatted link |
#12368 | Repstor affinity for eDocs will handle DRF reference files so that when they are opened the documents are displayed within Repstor affinity. This feature is available for DRF references pointing to any version or the latest version. Other DRF references will continue to be handled by eDocs directly. |
#12777 | When setting up a Search Scope for eDOCS you can now use {PRIMARYLIB} instead of an actual library name. |
Misc | |
#12681 | Added the option to use email content types even when they are hidden in SharePoint. This allows email files to be assigned the correct content type without making it visible to users. |
#12162 | Repstor assist will now automatically generate categorisation rules the first time without requiring the user to manually start the first training process. |
#13017 | When using Repstor affinity to Quick File to an online location and Quick File was configured to display extra columns SharePoint document library results don't have custom properties and so the extra columns are blank. Now a regular expression (ROAM.SPSSearchExtraColumnsMissingPattern) can be used to populate the missing values if they are included in the locations URL. eg "Clients/(\w+)/(\d+)" would extract ACME and 1234 from the location http://server/site/Clients/ACME/1234/. |
#13007 | When using Repstor affinity to Quick File to an online location an option is now available to disable the general Query Text clause and instead pass the users search text to a custom content class filter clause. This can be useful when Quick File online needs to restrict the use of the search text to very specific properties. Contact support for more details. |
Bug Fixes in 3.7.5 | |
#12761 | Improvements were made when syncing SharePoint repositories that exceed the list view threshold with other header status settings. |

#12195 | A Repstor for CRM issue was resolved which prevented emails from being sent after being selected in the Outbox. |
#12568 | An issue was resolved that could cause an Office application to report a permission error when editing a Repstor affinity document and the document was closed. |
#12372 | An issue was resolved which prevented luggage tagged replies from being automatically filed if they had been read on a mobile device before starting Outlook. |
#12657 | Temporary repositories added via Quick File online are now automatically removed from the Quick File Recent Locations list when they are removed after Outlook is restarted. |
